  • Automatic records retention schedules notify you when records reach the end of their life cycle.
  • The Retention feature allows you to set up retention codes that determine how long a document has been active or inactive in the file system. These documents may need to remain in your database and respective file folders for a certain length of time to comply with industry or government regulations.
  • The file system can track citations by associating them with retention codes. Citation codes are set up separately for each citation and define the time periods necessary for storing the associated records or physical files.
  • Retention codes can be applied to records manually or automatically to determine how long each record will remain in the system and when the disposition process should begin. Most of the time, you won’t need to do anything, as retention is handled automatically during record creation. You can also prevent a record from being destroyed by placing a permanent or temporary hold on it.

When it comes time to dispose of your records, you can select from the following disposition methods:

  • Archive: Records, including child records and attachments, will be marked as archived.
  • Destruction: Records will be marked as destroyed. Attachments will be permanently deleted.
  • Purge: Records will be permanently deleted.
